Job Description

The Customer Service Specialist is responsible for delivering exceptional service to customers from initial inquiry to vehicle return. The role ensures a smooth customer experience by handling reservations, responding to queries, resolving complaints, and coordinating with internal teams to meet service standards.

Key Responsibilities:

Customer Interaction & Service Delivery:

• Serve as the first point of contact via phone, email, live chat, or in person, ensuring timely and courteous responses.

• Assist customers with reservations, extensions, cancellations, and modifications while following company policies.

• Clearly explain rental terms, insurance coverage, pricing, and additional services (GPS, child seats, chauffeur services).

• Handle check-in and check-out efficiently, including document verification and contract completion.

• Resolve customer complaints and escalations promptly to ensure satisfaction.

Operational Support:

• Coordinate with fleet, logistics, and branch teams to ensure vehicles are available, clean, and well-maintained.

• Track reservations to ensure smooth vehicle allocation and minimize overbooking.

• Accurately update and maintain customer records in CRM and rental management systems.

• Process payments, deposits, refunds, and adjustments securely according to company policies.
