Role Overview


We are seeking a proactive and detail-oriented Administrative Assistant to provide comprehensive support to the company’s management and operations. This role will cover general administration, company documentation, HR functions, and compliance matters, ensuring smooth business operations and effective coordination with internal teams, government authorities, and key clients.


Key Responsibilities


General Administration


Manage calendars, schedule meetings, and coordinate appointments.


Handle calls, emails, and correspondence professionally.


Prepare, edit, and format reports, presentations, and documents.


Maintain accurate filing systems (electronic and physical).


Company Documentation & Compliance


Handle and maintain all company documentation in an organized manner.


Ensure compliance with government regulations, licensing, and reporting requirements.


Coordinate with relevant authorities for renewals, registrations, and approvals.


Human Resources & Manpower Mobilization


Assist in HR administration, including contracts, records, and onboarding.


Manage mobilization and demobilization of manpower in coordination with project requirements.


Support recruitment, visa processing, and employee documentation.


Client & Stakeholder Coordination


Follow up with main clients regarding project documentation, requirements, and updates.



Liaise between management, employees, and external stakeholders.


Support client meetings by preparing agendas, presentations, and minutes.


Qualifications & Skills


Bachelor’s degree in Business Administration, HR, or related field (preferred).


Proven experience in administration, HR, or compliance roles.


Knowledge of Saudi labor laws, GOSI, Muqeem, Qiwa, and government portals (advantage).


Excellent communication and interpersonal skills.


Strong organizational and multitasking abilities.


Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).


Ability to manage confidential information with integrity.
